1. Applicability

These Terms & Conditions apply to all orders, purchases, and ticket sales made through the CAVE Brussels website and official sales channels.
By placing an order or purchasing a ticket, the customer agrees to these Terms & Conditions.

2. Orders

2.1 Orders can be placed through our website. Upon receipt of your order, we will send a confirmation email with the order details.
2.2 We reserve the right to refuse or cancel orders, for example if a product is out of stock or if there is a pricing error.

3. Payment

3.1 Payments can be made using the payment methods provided on our website.
3.2 Prices displayed on the website include VAT but exclude any applicable shipping costs.

4. Shipping

4.1 We strive to ship orders as quickly as possible. Estimated delivery times are stated on the website.
4.2 Shipping costs are displayed during checkout. International shipments may incur additional customs duties or taxes.

5. Returns and Exchanges

5.1 If you are not satisfied with your purchase, you may return it within 14 days of receipt. Please contact us in advance for instructions.
5.2 Returned products must be unused, in their original condition, and in the original packaging.
5.3 Return shipping costs are the responsibility of the customer unless the product is defective or incorrect.

6. Warranty

6.1 We strive for the highest quality of our products. If a defect occurs, please contact us for an appropriate solution.

7. Intellectual Property

7.1 All intellectual property rights related to our products, designs, and branding remain the property of CAVE Brussels.
7.2 It is not permitted to copy, reproduce, or distribute our products or designs without written permission from CAVE Brussels.

8. Privacy

8.1 We respect your privacy and treat personal data confidentially. Please refer to our Privacy Policy for more information.

9. Applicable Law and Dispute Resolution

9.1 These Terms & Conditions are governed by Belgian law.
9.2 Any disputes arising out of or in connection with these Terms & Conditions shall be submitted to the competent courts of Belgium.

TICKETING TERMS

10. Ticket Sales & Event Admission

By purchasing a ticket through Billetweb, at the venue entrance, or through any other official sales channel of CAVE Brussels, the customer accepts these Terms & Conditions.

This applies to both online and on-site ticket purchases, regardless of the payment method used.

Tickets grant access solely to the event for which they were purchased.

By entering the venue, the customer also agrees to the House Rules, Safety & Conduct and Media, Photography & Recording Policy set out in these Terms & Conditions.

The organizer reserves the right to refuse entry in cases of fraud, misuse, invalid tickets, safety concerns, or violation of these conditions.

11. Non‑Refundable Tickets

All ticket sales are final.
Tickets are non‑refundable, except in the case of cancellation by the organizer.

This includes, but is not limited to:

  • illness or personal circumstances
  • changes in schedule or travel issues
  • no‑show
  • duplicate purchases
  • incorrect personal information entered during checkout

Customers cannot request cancellation or a refund after completing their purchase.

12. No Refunds After the Event & Ticket Transfer Policy

Refunds will never be issued after the event has taken place, regardless of attendance.

A ticket transfer to a later event may be granted only if:

  • the customer contacts the organization in advance,
  • a valid reason is provided,
  • the request is approved by the organizer,
  • the transfer is requested before the date of the original event.

Exceptions — no transfers allowed for:

  • Pride events
  • New Year events

due to different admission pricing and conditions.

13. Event Cancellation or Rescheduling by the Organizer

If an event is cancelled by CAVE Brussels, the ticket price will be refunded according to Billetweb’s refund procedure.

If an event is rescheduled, the ticket remains valid for the new date.
If the customer cannot attend the new date, a refund may be requested up until the date of the event, not after.

14. Invalid or Blocked Tickets

Tickets will be automatically invalidated if:

  • the customer initiates a chargeback,
  • the payment is reversed or disputed,
  • the bank cancels or blocks the transaction,
  • fraud or misuse is detected.

Invalidated tickets do not grant access to the event.

15. Chargebacks & Payment Disputes

Initiating a chargeback without contacting the organizer first is considered a violation of these Terms & Conditions.

In the case of an unjustified chargeback:

  • the ticket becomes invalid,
  • CAVE Brussels reserves the right to reclaim the outstanding amount,
  • administrative fees may be charged,
  • future access to events may be restricted or refused.

The customer acknowledges that they explicitly agreed to a no‑refund policy during checkout on Billetweb.

16. Official Ticketing Partner (Billetweb)

Ticket sales, payment processing, and ticket delivery are handled by Billetweb, acting as a technical service provider.
By completing a purchase, the customer agrees to both the Terms & Conditions of CAVE Brussels and those of Billetweb.

17. Misuse, Fraud & Unauthorized Resale

CAVE Brussels reserves the right to cancel tickets or refuse entry in cases of:

  • fraud or attempted fraud
  • misuse of payment methods
  • use of stolen or blocked payment cards
  • resale at inflated prices (scalping)
  • resale through unofficial channels

17.1 Authorized resale channels

Tickets may only be resold through:

  • the official CAVE Brussels website
  • official CAVE Brussels social media posts (not comments or replies by third parties)
  • TicketSwap

17.2 Prohibited resale channels

Resale through:

  • Facebook event pages
  • comments or replies by third parties
  • private messages
  • unofficial resale platforms

is strictly prohibited.

Listings found on unauthorized channels may be removed, and the associated tickets may be invalidated.

18. House Rules, Safety & Conduct

CAVE Brussels is a safe space where everyone is welcome, regardless of gender identity, sexual orientation, body type, ethnicity, age (18+), or background.

Respect, consent and kindness are core values of our community.

By entering the venue, the customer agrees to the following rules:

  • Respect all visitors, staff and performers.
  • Harassment, discrimination, intimidation or unwanted behaviour will not be tolerated.
  • Visitors are responsible for their own behaviour and personal well‑being.
  • Excessive intoxication (alcohol or otherwise) may result in removal from the venue without refund.
  • The use of substances must never disturb others or compromise safety.
  • Any behaviour that endangers others or disrupts the event may lead to removal without refund.
  • Professional camera equipment is not allowed without prior accreditation from CAVE Brussels. For accreditation, mail to: cavebrussels@outlook.com
  • Security checks or bag inspections may be performed if deemed necessary for safety.

CAVE Brussels reserves the right to refuse entry or remove any person who violates these rules.

19. Media, Photography & Recording Policy

During events at CAVE Brussels, photos and videos may be taken by the organization or accredited photographers/videographers.

By entering the venue, the customer acknowledges and agrees that:

  • They may appear in photos or videos taken during the event.
  • These images may be used for promotional purposes on CAVE Brussels’ official channels, including but not limited to:
    • the CAVE Brussels website
    • official social media accounts
    • the CAVE Brussels YouTube channel (event aftermovies)
    • the CAVE Brussels SoundCloud page (live‑recorded DJ sets)
  • If a visitor wishes to have a specific image removed, they may contact the organization by cavebrussels@outlook.com and we will handle the request respectfully.

Unauthorized professional photography, filming or audio recording is prohibited unless approved in advance by CAVE Brussels.

20. Intellectual Property & Branding Protection

The name CAVE Brussels, the CAVE logo, event artwork, visuals, promotional materials, photos, videos and all related branding elements are protected intellectual property.

It is strictly prohibited to:

  • copy, reproduce, modify or distribute CAVE branding or visuals
  • use the CAVE name or logo for commercial or promotional purposes
  • create events, pages or advertisements suggesting affiliation with CAVE without written permission

CAVE Brussels reserves all rights and may take action against unauthorized use.
